Google Reviews for South African Businesses: Earning, Answering and POPIA

South African customers read reviews before they call. This guide shows how to earn more Google reviews without breaking Google's rules or POPIA, how to reply well, and where Google sits next to Hellopeter.

Key takeaways

  • Ask every real customer for a Google review, the same way. Never offer a discount or gift, and never ask only the happy ones.
  • POPIA does not mention reviews by name. The safe course is to treat a review request like direct marketing: real customers only, your name in the message and an easy way to opt out.
  • Google is where most local searches start, so it usually comes first. Check Hellopeter too, and answer what customers say there.
  • Reply to every review, good or bad, in a calm and short way. You can report a review that breaks Google's rules, but not one you simply disagree with.
  • A steady monthly routine beats a one-off push. It takes about an hour a week for a single branch.

The short answer

To earn more Google reviews, ask every customer after the sale with a short link or QR code. Offer nothing in return, and send requests only to people who bought from you. Under POPIA, each message should say who it is from and how to opt out.

Reply to every review within a few days. Keep Google first, because that is where people search and find you on Maps. Then check what customers say about you on Hellopeter, and answer there as well.

Why do Google reviews matter for South African businesses?

Reviews do two jobs. They help a stranger decide to call you, and they help you show up in the first place. Google says more reviews and positive ratings can help a business's local ranking, and that replying shows you value feedback.

Reviews also tell you things your team won't. A pattern of comments about slow replies or unclear pricing is free advice. Read them as a customer survey you didn't have to pay for.

Nobody can promise you a set number of reviews or a set position on Maps. What you control is how often you ask, how fast you reply and how good the service is.

What people search for

Our analysis of Google Ads keyword data shows about 5,400 searches a month for “Google reviews” in South Africa, with low advertiser competition and top-of-page bids of up to €1.85.

What does Google allow when you ask for reviews?

Google wants you to ask. Its help pages suggest reminding customers with a review link or QR code. In your Business Profile, open Read reviews, then Get more reviews, and copy the link. Google says the QR code can only be saved from a computer browser.

The limits sit in Google's Maps content policy. Break them and reviews can be removed. The rules below apply to you, your staff and anyone you hire.

  • No incentives. You may not offer money, discounts or free goods or services in exchange for a review.
  • No review gating. You may not ask only happy customers, or try to stop negative reviews.
  • No conflict of interest. Staff, former staff, owners, family and contractors should not review your business.
  • No pressure on site. Don't require or pressure customers to leave a rating while they are on your premises.
  • No fake engagement. Paying for reviews, or posting reviews that don't reflect a genuine experience, is off limits.

Putting a QR code on the counter is fine. Standing over a customer until they post a five-star rating is not.

How do you ask for Google reviews within POPIA?

POPIA, South Africa's Protection of Personal Information Act, has a section on direct marketing by electronic message. Section 69 covers SMS, email and other electronic communication. The Information Regulator's guidance says the list of channels is open and includes direct messages on social platforms, so we would treat WhatsApp the same way.

POPIA does not mention reviews. A review request is not an offer to sell. But the Act defines direct marketing as approaching someone for the direct or indirect purpose of promoting goods or services. A review request arguably falls inside that, so the cautious approach is to follow the section 69 rules.

For existing customers, section 69 sets three conditions. You got their details during a sale, you are promoting your own similar products or services, and they had a free, easy chance to object. That chance must come when you collect the details and again in every message. Each message must also say who sent it and how to ask you to stop.

  • Ask only people who actually bought from you, using details they gave you for that purchase.
  • Tell customers at checkout or on the invoice that you may send one feedback request, and let them say no.
  • Put your business name and an opt-out line in every message.
  • Send one request and at most one reminder. Remove anyone who opts out straight away.
  • Never buy contact lists or message people who only enquired, unless they agreed to hear from you.
  • If a review tool sends messages for you, it handles your customers' data. POPIA section 21 requires a written contract that makes such an operator keep the data secure.

Google reviews or Hellopeter: where should you focus?

Most businesses don't have to choose. Google is where people search for you and find directions, so your Google reviews show up at the moment of decision. Hellopeter is a South African review platform where customers rate and comment on businesses.

Start by searching for your business on Hellopeter to see whether it already has a page. If customers talk about you there, read and answer what they say. The table compares the two on the points that matter for a small business.

How should you reply to good and bad reviews?

Google's tips are simple. Be polite and professional, keep it short, personalise the reply and apologise when that is fair. Don't use replies to advertise, and don't share private details about the customer.

For a bad review, thank the person, acknowledge the problem and offer a way to fix it offline. Give a general contact, such as your branch phone number, rather than asking for their details in public. If the review is in Afrikaans, isiZulu or another language, reply in that language if someone on your team can.

  1. 1Read the review twice and check your records before you write anything.
  2. 2Thank the customer by first name and name the issue in plain words.
  3. 3Apologise for their experience where it is fair, without blaming staff by name.
  4. 4Say what you will do, or give a number to call so you can sort it out.
  5. 5Keep it under about five sentences, and never argue in public.

You cannot delete a Google review because you disagree with it. Google says it does not get involved in disputes between businesses and customers. You can report a review that breaks its policies, such as spam, offensive content or a conflict of interest, and you get one appeal through the Reviews Management Tool.

Next steps: a monthly Google reviews routine

Google reviews reward habits, not campaigns. The routine below suits a single branch and takes about an hour a week. Add a column per branch if you have more.

Frequently asked questions

Can I SMS or WhatsApp customers to ask for a review under POPIA?

Yes, if they are real customers who gave you their number during a sale, and they had a chance to object. Each message should name your business and offer an easy opt-out, such as replying STOP. Don't message people who only enquired or whose numbers came from a bought list.

How many Google reviews should my business have?

There is no magic number. Google says more reviews and positive ratings can help local ranking, but you compete with the businesses near you. Look at the top three competitors in your area, and aim for a steady flow of recent reviews rather than one big burst.

Can I remove a review I disagree with?

No. Google removes reviews only when they break its policies, for example spam, offensive language, fake engagement or a conflict of interest. Report those from your Business Profile. For a fair but negative review, a calm public reply usually helps more than a removal request would.

Do reviews in Afrikaans or isiZulu count the same?

Google's content policies apply to all reviews in the same way, and its help pages do not say that one language counts more than another. What matters more is that the review is genuine. Reply in the customer's language when you can.

Can my staff or family leave us a review?

No. Google's policy bans reviews from people with a conflict of interest, including current and former staff, owners and close affiliates. Google removes reviews like these when it finds them.
